Having an Indispensible Receptionist

Would you like to have an indispensible receptionist? Many people think of a receptionist as "low man on totem pole," a worker bee at the bottom of a pyramid that's topped by a CEO, president, treasurer and everyone else in between. But if a receptionist is not held in high esteem it may be the fault of various officers and coworkers that his or her performance is not considered to be exemplary and absolutely essential.

Just for a minute consider the workplace pyramid to be inverted with the receptionist at the top. The receptionist is a go-to person for everyone at the business including coworkers, customers, visitors, vendors and telephone callers.

How do you treat your company's receptionist? Do you march past her and out of the office without a word? Have you offered her guidance and advice regarding the way you would like issues to be handled with respect to the various individuals he or she will come in contact with each day? Are you aloof or do you exhibit friendliness and other personality traits that you would like to represent your company's face to the world?

I believe that it is the employer's responsibility to treat a receptionist as a liaison or gal Friday and to communicate with the receptionist so that he or she is able to field calls as well as screen them, answer questions and assist others. A receptionist should be appreciated and trained to help make the workplace run smoothly. He or she should be able to create a pleasant experience for callers, customers and visitors.

A receptionist can only become indispensible to you and your business if you partner with him or her. A receptionist needs to know if you will be out of the office, when you will return, at what time you will be able to respond to calls and visitors and which calls to screen and eliminate. A receptionist is not a magpie and does not have to know where you will be going or give that information to outside individuals. A receptionist only needs to know what kinds of issues you are interested in and when you will be available to handle those issues that he or she is not able to handle on your behalf.

If you want to have an indispensible receptionist you need to be a very special boss, thoughtful, considerate and able to communicate a vision of the way you want your business to show its positive face to the world.

One of the hard parts about working at home is that one has to do everything! The lack of a receptionist or personal secretary may mean wasting time on unwanted phone calls, people at the door, etc. What a shame that people who work for organisations with the luxury of receptionists do not know how to form good working relationships and use the resources on offer!
